Planning a wedding can be an enjoyable experience, but stressful situations can easily arise.  The reception is an integral part of the wedding experience, and choosing just the right location is important for your wedding planning to move along smoothly.  If you have hired a wedding planner, the planner will no doubt have many suggestions for a venue; however, if you¡¯re doing the planning yourself, you may overlook some of the features required for the ideal reception site.  Here are some factors you may want to consider when considering wedding reception locations.

SIZE

The size of the location is important, whether you plan to have 300 guests or only 20 guests.  You want to have a site that is large enough to accommodate all your guests, especially if you are having a dance or other entertainment that requires some extra space.  While tents can be erected to hold more people, it¡¯s usually a good plan to get a venue that is large enough for all your guests unless you have your heart set on a special place.  On the other hand, if you¡¯re having a small, intimate wedding, you don¡¯t want a large hall for just a few people.  While you can adjust the guest list to fit the spot you choose, selecting a venue is much easier after you¡¯ve made up your guest list and have an idea of how many people you need to accommodate.

DISTANCE FROM WEDDING

It¡¯s more convenient for you and for your guests to select a reception site that is near the location of the wedding.  Unless you have a destination wedding, you can usually find a spot close to your wedding site that won¡¯t require detailed maps or extra transportation for out-of-town guests.  If you are having your wedding in a place of worship, having the reception in the church hall can be convenient.  If you¡¯re having a secular wedding, often you can find a part of the venue you¡¯ve selected for the reception for the wedding too.  While it¡¯s sometimes necessary to have the wedding and reception great distances apart or even have more than one reception for those who marry someone from another part of the country, having the wedding and reception close together is convenient and should be considered.

WEATHER

If you¡¯ve always dreamed of getting married on Valentine¡¯s Day, you¡¯ve probably never thought about the weather that typically goes on in February.  Many weddings are in June, and that¡¯s probably because the weather is much nicer then.  While couples get married in all months and in all weather, planning for unexpected, unpleasant weather events like rain, blizzards, extreme humidity, heat, and even hurricanes is very important if you¡¯re having an outdoor event.  While I¡¯ve actually been to an outdoor wedding during the month of December, I remember thinking how lucky the wedding couple was as the temperature dropped 30 degrees the next week.  Even indoor events need some extra ¡°what if?¡± planning during the winter months.  June on the beach will probably turn out well, but make some alternate plans in case of rain.

PARKING

If you¡¯re expecting a large number of guests, you can expect a large number of parking problems at some venues.  If you are renting a public venue such as a restaurant, hotel ballroom, or park, you won¡¯t usually have a problem, but for smaller locations or private homes, parking can be difficult.  One way to solve the parking problem is to hire valets if there is parking to be had nearby, or provide some type of shuttle service to the reception site.  

KITCHEN

Even if you¡¯re serving simple food at the reception or having caterers, a kitchen at the reception site is a big help.  If your friends and family are helping to make the food, kitchen facilities are almost a necessity if you want to have safe and appetizing food.  If you¡¯re only having cake and punch, you could probably get by without a kitchen, and caterers, of course, can serve elaborate dishes just about anywhere, but a kitchen on site is a great help and should be considered in your choice of a reception venue.

RESTROOMS

Restrooms are important even at outdoor sites, and especially if you¡¯re inviting children or are serving alcohol.  If your reception will last several hours, restrooms are a necessity, and most places you would consider will have them.  While visiting locations that you are considering as possibilities for your reception, always check the restrooms to see if you and your guests would be comfortable using the facilities there.  Locations without nearby restrooms should go to the bottom of your list.

EASE IN DECORATING

Many outdoor locations require little or no decorating to be perfect for your reception, but some indoor locales are void of charm and need extensive renovation to be worthy of a perfect wedding reception.  Large halls can be especially difficult and costly to decorate, church halls sometimes have athletic equipment permanently installed, and often the tables and chairs available in such places need a lot of coverage to be presentable.  In selecting a site for your reception, remember that often it¡¯s less costly and can be a big timesaver to select a venue that already has a look you like; it could be less expensive, for instance, to have a reception in an elegant hotel room than to decorate a cavernous VFW hall to your standards of elegance.

RULES OF THE HOUSE

Most venues you would consider for your reception have rules that govern what you can and cannot do there.  For instance, in some places there are fire laws against the use of lit candles, alcohol cannot be served in some locations, and some venues require you to purchase all rentals and catering from them.  If you are not renting an all-inclusive spot, there are usually cleaning rules and time limits, and your deposit may be forfeited if you don¡¯t meet all the requirements to the letter.  If you are considering renting a venue, read all of the paperwork that you will be required to sign.  Being surprised by restrictions of which you were unaware can be very costly and irritating and can ruin your reception.

RENTALS

For all but the simplest of receptions, you will probably need to rent some items.  There are businesses that specialize in wedding rentals, and it is instructive to go to one of those businesses and just look around and see what they have to offer.  In selecting your venue, consider the rentals that will be needed.  For an outdoor wedding, you may need to rent tables, chairs, tent in case of rain, dishes, silverware, etc.  If you are having a caterer, rentals can often be arranged through your consultant, and some venues will also book rentals for you.  If you don¡¯t want to have to deal with thinking of all the things you will need and paying for each item, book a place that will provide everything you need on site, or hire a wedding planner who will arrange all the details of rentals.  Whether or not you will need a large amount of rentals is an important factor to look at when considering a certain location.

COST

Cost is an important factor in selecting a wedding reception location.  While some sites are very inexpensive or free, others can run into thousands of dollars just to book the site.  A consideration on cost includes whether you are just booking the site itself for a certain price, or if other things such as tables and chairs, linens, dishes, silverware and catering are included in the price.  Many times it is hard to compare different sites since each could include different elements in the price.  Since most couples have a fair idea of how much they are able to spend on a wedding, keeping costs within certain limits is important.  Making a chart and listing each venue you¡¯re considering and the costs associated with each should help you be able to choose a location that will fit your budget.
