Having a small business can become expensive when thinking in terms of equipment you need in order to have a successful endeavor. However, there are a few tips to consider that will be helpful to you as you decide which kinds of equipment you can afford to purchase to help your business to thrive and grow, and will save you money at the same time!
Copiers
Copy machines are a huge investment that are pretty much out-of-the-question for most small business owners until very recently. High-end copiers and duplicating machines like Xerox, Canon, and Savin can be very expensive, starting in the $10,000 range, which can be somewhat unreachable for someone just starting out. However, we can thank the printer designers and manufacturers such as IBM, HP, and Lexmark, who have taken printer technology and applied it to new copy machines that are smaller, more compact, and much, much less expensive. It pays to check the advertisements circulated by most electronics stores in your area, because they are starting to offer small- and mid-volume, consumer-priced copiers more often now, as technology improves and allows for more of these smaller copiers to emerge. It is a good idea to stay informed about what is available, because the electronics and computer fields improve practically weekly, and new technology is emerging steadily. Many of the new ¡®all-in-one¡¯ devices also double as copiers, although the amount of ink you will use may not make this a cost-effective solution. The ¡®all-in-one¡¯ printer/scanner/fax/copier machines are covered in a more in-depth manner later on in this article.
FAX Machines
Facsimile or ¡°FAX¡± machines have really changed in recent years and even months. Just a couple of years ago, you could purchase a large, bulky machine that took up a lot of room on your desk, performed only one function, and tied up your phone line if you only had one. These days, FAX machines have changed ¡®complexion,¡¯ they are a lot smaller and more compact, and have more features. Plus, the cost of a FAX machine is astronomically less than several years ago. My personal favorite FAX machine, is not even a true FAX machine, however! Several computer and printer manufacturers, such as Dell, Hewlett-Packard, and Canon, have designed an ingenious ¡®all-in-one¡¯ printer/scanner/FAX machine. These machines are a dream for someone with a small business. I personally can not say enough about them. Dell and HP have both manufactured fabulous products in this realm, and for an astoundingly low cost. For between $150 and $300, you can purchase a fantastic multi-tasking device. These printer/scanner/FAX machines take up a relatively small amount of space, and are nice-looking units. The scanner is large and accurate, and the printer is a decent-quality inkjet. As far as the FAX portion, you attach an RJ-11 cord, (standard phone cord) to the unit and to a wall phone jack, and then access your computer¡¯s onboard fax program, or install the one that came with the printer/scanner/FAX unit. Either will work well. All this and you are only looking at one power cord, one printer cable, and one phone cord. This also gives you control of when you receive and send faxes, this way, your precious phone line is free when you need it to be. Your computer serves as a wonderful internal FAX unit giving you all the features of any standard FAX machine and more. Incidentally, you can always install another phone line and have the all-in-one unit phone cord plugged into that.
Printers
There was a time in the not-too-distant past when very few small business operators could afford to invest in a costly laser printer. Laser printers, made famous in large corporate offices by the IBM corporation, were the state-of-the-art in printing, and still are, but who could afford one if you are a small business owner just getting started? Not many could. These printers were thousands of dollars in the beginning, and then as technology improved, it seemed for a while that laser printers became even more costly as new features were added, such as color capabilities! Not too many small business owners would be able to purchase a laser printer for under $5,000 to $10,000! Obviously, the manufacturers of laser printers figured out that there was quite a growing market out there in the land of the consumer who wanted to start a business. Almost overnight, it seems, we now can purchase a decent laser printer for under $1,000! This is wonderful for the small business operator, who can now improve the output of their paperwork tenfold!
As far as printers other than laser printers are concerned, there is a virtual myriad of ink jet printers available on the current electronics markets, that are both amazing in quality and also in price. It never ceases to amaze me how the technology has improved to the point where almost anyone can afford a good printer! Ink jet technology has come a long way in just a few years. There are printers manufactured by the Epson company, that have amazingly durable inks. This is an important feature if your small business happens to lean heavily on the sale of printed matter, such as greeting cards, calendars, and photographic prints. Having tested and evaluated many ink jet printers myself, I can attest to the fact that Epson printer inks are the most permanent. Epson inks and papers, when used together exclusively, provide an archival quality printed product. The ink does not fade over time, it does not smear or puddle, and the saturation of color on the paper is spectacular. I believe that this company has made the best strides in technology with regard to their printer inks and papers, and, to top this off, their printers as among some of the least expensive and most efficient for the long-term. I can also say positive things about Hewlett-Packard printers, and also Lexmark printers (Lexmark manufactures for big computer companies also, such as Dell). These other printers are also good, by all means, but my personal preference is for the Epson printers which have the superior ink/paper/cost combination, in my opinion.
This discussion leads now to the subject of ink replacement for inkjet printers. Replacement cartridges and refills for inkjet printers can be astronomically high-priced. The demand for this product has driven the prices through the roof. However, some smart companies out there such as Island Inkjet, Rainbow, and Frog, have provided a way for the consumer to purchase ink refills for their inkjet cartridges for half the price of buying a new cartridge. As most consumers, I was skeptical at first, thinking that there was no way the ink quality could match what the consumer buys from the retail stores. However, after trying refills for three different types of printers, I became convinced of the opposite. These inkjet refill companies use the same inks as the big printer manufacturers do. They just charge a lot less for it. Hence, here is one more way that the small business owner can save a lot of money when it comes to replacing empty ink cartridges for their inkjet printers!
Whatever you decide upon when purchasing printers, copiers and FAX machines for your small business, try to stay informed about the latest developments in electronic devices. The more informed you are, the less money you will pay, and the greater satisfaction you will derive from your well-researched purchases! |
