With the lure of working from home and being their own bosses many entrepreneurs have started their own online businesses. They turn that extra room in the house into an office by putting in a desk, phone and a computer. Then once they figure out what they want to sell they post it on the web and they are in business.
Amazingly, it is just about that simple. Yes, there are other considerations such as business licenses, permits and taxes but even those items can be taken care of from that same desk, computer and telephone. Often, most of the business can be conducted from anywhere that has an internet connection.
Although the actual business will be conducted online ¨C physical equipment and technology are needed to get the work done. Software may get top billing but without the hardware what good would it be.
A computer will be the most important piece of hardware to own. It does not have to be the biggest, fastest or the best that you could buy but it does need to be very reliable. The computer will be your main connection to the internet and to your customers. Computers come in all sizes, shapes, configurations and colors. Processor speeds and the size of the hard drives have been the most noticeable upgrades that have appeared on the computer scene in recent years. New operating systems have been installed on the new computers to take advantage of the increased computing power.
Although less than top of the line computers will suffice there are some upgrades that are well worth the expense. One upgrade that will give you the best bang for your buck is the ram. Ram (random access memory) has a lot to do with the operating speed of the computer. Many older computers sold with 128MB of ram installed with enough slots to hold up to 512MB. Ram memory is sold as a stick (64MB, 128MB, 512MB, 1 GIG etc.) and simply plugs into a slot on the motherboard. All else being the same - if you had to choose between a Pentium 2 with 512MB of ram and a Pentium 4 with 256MB of ram choose the first one.
If you have limited space and if you are often away from the office - a laptop computer can be a lifesaver. If you plan to carry it with you look for one that does not weigh over six pounds. You will want wireless capabilities built into it. If you have a laptop without built in wireless capabilities you can purchase an external wireless card.
Flat Monitors look great and they save desk space. The prices have been decreasing over the last several months so now you can find a good 15 inch flat monitor starting for around $275.00. The contrast ratio (for example 400:1) is important. Choose the highest contrast ratio in the price range you are looking at. Also remember that the viewing area of a monitor is measured diagonally. A 15 inch flat monitor will have approximately the same viewing area as a 17 inch CRT.
The operating system will be important for a couple of reasons. Security has improved with each new operating system. Updated patches are available periodically that protect your computer from malicious files. Some of these patches work in conjunction with your ant-virus protection software. The more up to date these files are the safer your data will be. Some secure websites may require at least 128MB encryption capabilities. Also, the new operating systems allow you to add peripherals easier ¨C most of the time without adding software drivers.
A network card (NIC) enables a computer to be part of a network. A computer on the network can share files, printers and the internet connection with another computer through its RJ45 connection. Some NIC cards have wireless capabilities as well. Most wireless networks are either 802.11B, 802.11G or both. Any other computer on the network with a wireless card installed can connect to the network without cables. There are ¡°hot spots¡± (wireless connections provided by others) that you can use to connect to the internet while you are away from your desk.
The upside to the wireless network is that you can work anywhere within the range of the network ¨C the downside is that any 2.4 GHz device such as a cordless phone can interfere with the connection and they are not always secure.
Routers can be used to connect two or more computers together in a network. Some routers have wireless capabilities as well as RJ45 connections. Any computer or PDA with a wireless network card installed can connect to the network wirelessly through the router. A network is secured with a password. Each device uses the same password in order to connect to the network.
Wireless network cards (PCMICA) are available through some mobile phone companies that allow you to connect to the internet through a wireless dialup connection. A laptop that has a PCMCIA slot can use these cards.
Backing up your data is the best habit to have. Remember that it is when a computer crashes not if a computer crashes that you will need current back ups. There are several devices to choose from. You can use back up drives with removable media, memory cards with readers, flash drives and other external hard drive units that connect to your computer through a USB connection. Small USB units are available that hook to your key ring and hold up to 1 GIG or more of data. Some back up units have software that automatically backs up data at a specified time. The most important back up system is the one that you will use!
A printer is a necessary piece of hardware. Your printer does not have to be the best and the fanciest but you will probably need one that works well with the newer operating systems. Updated drivers (files that make the devices work together) are available for downloading to make your older printer work. Older printers had parallel connections, some newer printers have both parallel and USB connections and the newest printers only have USB connections. Printer prices have decreased but the prices for ink cartridges have steadily gotten higher. Money can be saved by refilling empty ink cartridges yourself by using kits or you can take them to a business that specializes in refilling empty ink cartridges.
A scanner will allow you to change a photo, an article or form into a digital file. Although digital cameras are plentiful not everyone uses them. If you are trying to go more or less paperless a scanner is essential. Scanners are available as stand alone units and they are often included as part of an all-in-one unit. (a printer, a copier, a scanner and a fax machine all in one unit)
A digital camera is a piece of equipment that can be used for multiple purposes. You can take pictures to post on the web. You can take a picture of an item that you are researching to purchase. You can take pictures to print on a poster. Digital cameras can be purchased within a huge price range depending on your needs. A couple of important features to be aware of is the mega pixel count and the memory type and size (internal, memory card or both).
Fax machines are needed to perform some business transactions that cannot be done on the computer. If a form or letter has to have an original signature for instance a faxed copy is preferable. Fax machines can be a stand alone unit or as with the scanner, it can be part of an all-in-one unit. A phone line is needed to operate the fax machine. Some fax machines can be connected to computers but it is not necessary. Fax machines will allow you to make black and white copies without the use of a computer.
There are fax programs offered for computers that can be used when you are away from your office.
Telephones are a staple in the office. There are many types sold both corded and wireless. If you have a wireless network in the office or in the surrounding area you should choose something other than a 2.4 GHz model.
Your cell phone is sometimes more important than the office phone. You will be away from the office and you still need to be in touch. Cell phone companies offer a large array of wireless plans and styles of phones. If you are often out of your local area, in other states or even overseas choose a wireless plan that does not charge extra fees for calls made from outside your service area. Choose a wireless plan according to your needs. Make a list of what you need and want from your cell phone before shopping for one. There are so many options available that you could spend more money than you need to. Some cell phones not only take pictures but they allow you to send the through e-mail or to post them on the web. If you did not want to carry a digital camera this may be worth the extra expense to you.
A PDA (personal data assistant) is another multipurpose piece of hardware. Although some may think that a PDA is not essential it can be very handy. A PDA keeps track of your schedule, you can read and update files from your computer on it and some have built in digital cameras. There are attachments for a PDA that allow for multiple uses. You can attach a keyboard to it and you can even use it as a GPS (global satellite positioning) device that not only tells you where you are but tells you where you are going. Decide what your needs are and buy a PDA accordingly. Prices can vary from around $99.00 up to and over $700.00.
Some cell phone companies offer a PDA that is also a phone. If the PDA has wireless capabilities built into it you can connect to the internet through available networks. This way you can check and send e-mail as well as surf the web. So again, you can choose one device that takes the place of several other devices.
You will continually find electronic gadgets that are must haves. Some are inexpensive and others are very expensive. Do your research before making the next purchase to be sure that the new gadget or piece of equipment that you bring to the office will play nice with what you already own.
